What to Ask During Your Wedding or Event Venue Tour
You’ve said yes. Now comes one of the most exciting (occasionally overwhelming) parts of wedding or event planning: finding the right venue.
A tour is your chance to move beyond the photos online and see whether a space actually feels like you. It’s also your best opportunity to ask the questions that don’t make it into the brochure. The more you ask upfront, the fewer surprises you’ll encounter later, and the more confident you’ll feel when it’s time to sign on the dotted line.
Wedding Venue Availability and Costs Questions
Start here. If your preferred date isn’t open, everything else is irrelevant. Ask whether the event or wedding venue can place a temporary hold on a second date while you’re making your decision, and find out how long that hold lasts.
Ask for a line-by-line breakdown — venue rental, food and beverage, bar service, security, setup, and teardown. What looks like a simple flat rate can shift significantly once those line items are factored in. A venue that’s upfront about its pricing structure is a good sign you’re in the right place.
Some venues bundle catering, linens, coordination, and décor into all-inclusive wedding packages. Others price everything separately. Ask what’s included and what’s not for a true apples-to-apples comparison.
Ask directly about overtime charges, cake-cutting fees, coat check, and parking. You want the complete picture before you fall in love with a number that doesn’t reflect the full cost.
Ask whether they accept credit cards, and make sure you understand the full payment schedule (how much the deposit is, when it’s due, and when the remaining balance is expected) before committing.
Capacity and Layout Questions
Get both the minimum and the maximum. If you’re planning an intimate celebration — think 50 guests rather than 200 — make sure the venue is designed to make a smaller gathering feel warm and full, not empty. Some venues also have food and beverage minimums that scale with guest count, so it’s worth understanding how that works early.
A diagram is useful; walking the actual space is better. Pay attention to how guests will move between cocktail hour, dinner, and dancing — and whether those transitions feel natural. Take note of how the room looks and feels when it’s set up versus when it’s empty.
If both events are happening at the same venue, ask how the room flip works, how long it takes, and where guests will be during that transition. Is there a space for a cocktail hour? A bridal suite? These details matter more than you’d think on event day.
Vendors and Catering Questions to Ask
Some venues work exclusively with approved vendors for catering, photography, and entertainment. Others welcome outside vendors. Knowing this upfront helps you plan and budget accordingly.
If the venue handles catering in-house, ask to see menu options and pricing. If you’re bringing in your own caterer, ask about kitchen access, load-in logistics, and any associated fees. Don’t forget to ask about food tastings! Some venues offer them as part of the planning process, and they’re one of the best parts.
Confirm the kitchen can handle your guests’ dietary needs before it becomes a day-of scramble.
Coordination and Day-Of Support Questions
This question matters more than most realize. A venue coordinator manages the staff and logistics on event day. A wedding or event planner manages your full timeline, vision, and vendor relationships. Ask which one is included and what their involvement looks like leading up to the event.
The best venues don’t just hand you a contract and disappear. Ask how often you’ll be in touch, when you’ll have planning meetings, and how decisions about food, décor, and timeline get finalized. You want a partner in this process!
Décor and Logistics Questions
Find out what you can and can’t bring in, including their policies on open flames, hanging decorations, confetti, and flower petals. Some restrictions are building-specific; others are venue preference. Knowing this early gives your florist and decorator time to plan around any limitations.
Ask what’s built into the space, such as speakers, microphones, uplighting, and projection screens. Find out whether a sound technician is included or if that’s a separate hire, and whether you can do a walkthrough with your DJ or band beforehand.
Restrictions and Flexibility Questions
Does the venue provide a licensed bar, or can you bring your own? Is there a corkage fee? Are there restrictions on service hours? This one question can significantly affect your total cost and the flow of your evening.
If you’re drawn to an outdoor setting, ask whether the venue has a dedicated outdoor space and, just as importantly, what the backup plan looks like for rain. A solid weather contingency is non-negotiable.
Most venues welcome both, but some have restrictions on volume, equipment setup, or performance hours. Confirm this early if live entertainment is on your must-have list.
Accessibility and Transportation Questions
Ask about available spots, overflow options, and whether valet service is offered. For larger guest counts or venues on a busy street, this is worth thinking through early.
Confirm the space is accessible to guests with mobility needs: ramps, elevators, and accessible restrooms. It’s a small question with a big impact on the people it affects.
If guests will be traveling between locations or the venue isn’t easily walkable from nearby hotels, ask whether there’s a shuttle arrangement or a preferred transportation contact.
Before You Leave
Read it carefully, ask about rescheduling versus full cancellation, and get everything in writing. Life happens, and you want to understand your options before you need them.
A second walkthrough, especially once you’ve narrowed your list to two or three venues, can reveal things you missed the first time. Don’t hesitate to ask.
